Remote Distribution Templates

Many people are experiencing more stress than normal during COVID-19 due to factors such as financial troubles, health anxiety, and isolation. On top of this, many students and employees are working from home for the first time, which can be very challenging.

The PASS Kit may be able to help you support your students or employees while they work remotely by providing evidence-based tools and advice for stress management.

We’ve developed a set of templates with instructions to help you collect shipping addresses as part of an opt-in process. You can get started by reading or downloading the template instructions below, and then downloading the letter format that works best for you!

 

Instructions

  1. Choose the format that works best for you. Your options include:

    • an email you send out, where people can opt-in by replying with their shipping address

    • a letter you can distribute by email or on a website, where people can fill out the letter and return it to opt-in

    • a Google Form that people can submit to opt-in. This is the best option for large groups.

  2. Customize your template. Remember to fill in your organization name where appropriate. If you’ve decided to use a Google form instead of a letter, you can either create your own, or contact us and we’ll set one up for you!

  3. Send out the letter. Make sure you set a deadline for opting-in.

  4. Collect responses. You can do this by gathering completed letters, inputting email responses into a spreadsheet, or converting Google Form responses into a Google Sheet.

  5. Contact us. We’ll work out the cost, based on the number of orders, invoice you, and then take care of the rest!

 

How can I fund PASS kits for my community?

Looking to advocate for the PASS kit in your community but not sure where to start? Don’t worry, we’ve got it sorted out for you. All you have to do is download the letter templates and fill in the blanks, and send it off to a decision-maker in your community.

(If you’re a post-secondary student, you may want to use our email format instead.)

Instructions

  1. Figure out what letter is right for you. Are you a student looking for some change at school? A concerned parent looking out for your kid? Or a committee looking for funding for a mental health initiative?

  2. Download the letter as a .docx or .pdf file and edit in the document processor or PDF viewer of your choice (e.g. Microsoft Word, Adobe Acrobat).

  3. Determine who you’re writing the letter to.

    1. If you’re a high school student or parent of a high school student, this could be your principal, vice-principal or guidance counselor.

    2. If you’re a post-secondary student or parent, this could be your student representatives, student unions, faculty head or dean, health services director or administrator, or even your school president.

    3. If you’re a member of a organization committee, consider writing to a sponsor or donor.

  4. Fill in your name, address, and contact information in the sender information section.

  5. Fill in the current date.

  6. Fill in the name, position, company name, and address of the recipient of your letter in the recipient information section.

  7. If you’re a committee or organization looking for funding (if not, just skip this step!):

    1. Visit www.mypasskit.com/friends for discount details and adjust the costs in the letter accordingly.

    2. Factor in the population size you are distributing to.

    3. Make sure your sponsors align with your goals and values.

  8. Fill in the blanks in the letter body with the appropriate information.

  9. Deliver the letter through the post or in person.
